How to calculate the real annual cost of a CRM

Seat price is only the starting point. Enter the number of people who need paid access, the monthly price for the exact edition, recurring add-ons, mandatory onboarding, and your expected migration or setup cost. Use the annual discount only when the quote confirms that it applies to the entire eligible subscription.

Compare first-year and recurring cost separately

The first year often includes data cleanup, implementation, training, and onboarding that will not repeat. Recurring annual cost is the better number for comparing steady-state budgets. The per-user result helps compare products with different seat rules, but it should not hide platform fees or usage-based charges.

Build three scenarios before choosing

Calculate a current-team scenario, a likely 12-month scenario, and a downside scenario that includes an extra paid add-on. Confirm whether administrators, service agents, marketing users, contractors, and read-only users need paid seats. Save each estimate as CSV and attach the vendor quote so the assumptions can be reproduced later.

This calculator is a planning aid, not a quote. Taxes, currency conversion, minimum commitments, contact tiers, email volume, calling, storage, AI credits, support, and renewal pricing may change the actual total.

Frequently asked questions

What costs should be included in a CRM budget?

Include paid seats, platform fees, add-ons, onboarding, migration, integrations, training, support, taxes, and internal implementation time.

Should CRM cost be compared monthly or annually?

Compare the full first-year cost and the recurring annual cost. Monthly advertised prices often exclude setup costs and may require annual billing.

How many users should I enter?

Enter everyone who requires a paid seat under the vendor’s current rules. Confirm access rules for administrators, light users, service teams, and contractors.
