How to calculate the real annual cost of a CRM
Seat price is only the starting point. Enter the number of people who need paid access, the monthly price for the exact edition, recurring add-ons, mandatory onboarding, and your expected migration or setup cost. Use the annual discount only when the quote confirms that it applies to the entire eligible subscription.
Compare first-year and recurring cost separately
The first year often includes data cleanup, implementation, training, and onboarding that will not repeat. Recurring annual cost is the better number for comparing steady-state budgets. The per-user result helps compare products with different seat rules, but it should not hide platform fees or usage-based charges.
Build three scenarios before choosing
Calculate a current-team scenario, a likely 12-month scenario, and a downside scenario that includes an extra paid add-on. Confirm whether administrators, service agents, marketing users, contractors, and read-only users need paid seats.
