How to compare CRM vendors with a weighted scorecard

Name each shortlisted CRM and assign weights before entering scores. A weight represents business importance; a score represents how well the product met the documented requirement. Keeping those concepts separate prevents a polished demonstration from making every feature appear equally valuable.

Score evidence, not promises

Use a consistent scale. A high score should require a completed acceptance test and confirmation that the capability is included in the quoted plan. Reduce the score when a requirement depends on custom development, an untested integration, a higher tier, or recurring manual work.

Review the result for hidden constraints

The highest weighted total is a decision aid, not an automatic winner. Check security, contract terms, data portability, implementation risk, user adoption, and total annual cost separately. A product that fails a mandatory requirement should not win because of optional features.
